After sixteen years of placements, Adoption Assistance had the record of thousands of family journeys spread across the tools that accumulate around any long-running agency: a case-management system that had served its time, a separate form tool for the website, documents in one place and the notes that explained them in another.

The team knew that history cold. That was exactly why changing systems felt dangerous: sixteen years of families, cases, children, birth parents, home studies, and hand-written context is not something you gamble with, and nobody had the spare months it would take to re-enter any of it by hand.

The rule for the migration was simple: every record comes over, or none of it matters.
